About BEVA Congress

BEVA Congress is a unique opportunity to discover, learn, and get together with equine vets from across the globe.

Packed full of inspiring, thought-provoking CPD, Congress covers the breadth of the equine veterinary sciences and with a mix of lectures and panel discussions it is the place to listen and interact with leading practitioners, be updated on the latest innovations and hear perspectives from world-renowned specialists.

Peace of Mind Booking Policy
All payments must be made in pound sterling. Your BEVA Congress place is not guaranteed until full payment has been made.

Booked places can be transferred to another person if requested more than two weeks prior to the start of the event without incurring any extra fees. If the transferee is not a BEVA Member he/she will be liable for the difference between the member and non-member rates. If a transfer is requested less than two weeks prior to the start of the event a 10% administration charge will apply.

If you have booked to attend in-person and are unable to do so due to a Covid related reason you should notify us as soon as possible. We will automatically switch your ticket to a digital ticket allowing you to still participate in BEVA Congress 2021. The remaining balance will then be issued as a credit that can be used against any BEVA CPD (including BEVA Congress 2022) and will be valid until 30th September 2022. 

Cancellations made more than six weeks prior to the start of the event (on or before 24th July 2021) will receive a full refund (less a 10% administrative charge).

No refund will be given for cancellations made less than six weeks prior to the start of the event (on or after 25th July 2021). 

In the unlikely event, BEVA is required to cancel BEVA Congress 2021 you will be given the choice of either a full refund or a BEVA CPD voucher for the amount of your ticket, valid until 30th September 2022.

Scientific Programme
Whilst the programme is correct at the time of going to press, BEVA reserves the right to change details of the event without notice. All best endeavours will be made to present the programme as publicised however, alterations may occasionally be necessary due to circumstances beyond our control.

Your Ticket / Registration
You will receive a digital ticket for BEVA Congress 2021. The email address provided during registration (for BEVA members the registration system will automatically select your registered membership email address) will be where this ticket is sent. The email address given must be unique. To update your email address please contact events@beva.org.uk. 

Your email address will also be linked to your virtual congress platform account and give you access to the online aspects of congress. 

BEVA is not responsible for errors made in providing your email address. You should contact events@beva.org.uk if you are concerned an error has been made. 

To protect the security of the BEVA virtual congress, attendees should not share login credentials. Every attendee will receive their own login credentials.

Online Access
In the event of internet or other telecommunication disruptions affecting the live transmission of BEVA Congress 2021, delegates will have the opportunity to watch the recorded sessions on-demand. No refunds will be given in such cases. BEVA is not liable or responsible for any delay, disruption or disturbance in the operation of the internet or problems caused by your internet service provider or for any telecommunications failures which are beyond our control. 

All delegates (physical and virtual) will receive 6 weeks of online access to the recorded sessions. If you wish to have extended access to the recordings you can choose to pay £35 for 12 months access, please contact events@beva.org.uk for more information. 

Access to the online content may be temporarily unavailable during Congress for required updates and critical maintenance of the platform to ensure optimal user experience. In any occurrence, these times will be kept to a minimum. 

Photography
Photography will take place during BEVA Congress 2021. All photographs may be used for marketing purposes. Please inform the photographer if you do not wish to be included in any close-up photography.

BEVA may also take screenshot images and videos during the virtual sessions. By participating in the activities, you grant BEVA the right to use your profile information/image for marketing purposes. If you have any concerns please contact BEVA by email at events@beva.org.uk. 

All images become the property of BEVA. 

Virtual Attendee Code of Conduct
Online interaction can be easily misconstrued. We ask all users to be mindful of the tone of their messages and avoid using offensive or derogatory language. All engagements should be polite and respectful. 

Harassing, intimidating or discriminatory verbal, physical or visual conduct in any form will not be tolerated. 

Use caution when discussing products. The information posted may be available for all to see and comments are subject to libel, slander and antitrust laws

Posting of promotional materials, including but not limited to advertisements, product announcements or solicitation for services are not permitted unless they are part of an event sponsor/exhibitor/partner agreement. 

Data protection regulations must be followed for any personal data you may obtain from the event and consent must be obtained from the data subject prior to processing, storing, using or sharing this data.

BEVA reserves the right to remove messages that violate the BEVA Virtual Congress Code of Conduct. Individuals who violate the BEVA Virtual Congress Code of Conduct may be removed and blocked from the event without warning or refund. They may also be prohibited from attending any future BEVA events. 

Physical Attendee Code of Conduct
The Conference Venue is referred to below as ‘the Centre’

By choosing to allow my badge to be scanned by an exhibitor, sponsor or for a seminar session when at the event, I will be providing the exhibitor, sponsor and organisers with my personal data. This data may be used to contact me about products or services and I understand that this partner or sponsor may transfer this data outside of the European Economic Area for these purposes. I also understand and agree that my personal data may be held and used by the organiser of this event, and any third-party hosting provider acting on its behalf, to run the event and for analysing visitor traffic with a view to improving the event experience for visitors.

All badges are non-transferable and must be worn at all times by the named delegate only. BEVA reserve the right to exclude delegates from Congress who do not comply. Delegates wearing incorrect badging will be invoiced for their attendance post-event.

Fire exit signs must not be obscured. Aisles between seating areas must be kept free of obstructions. Smoking is not permitted in the auditoria of the Centre. The Centre is a no smoking venue completely including e-cigarettes.

No explosives, firearms, lasers, weapons, flammable substances or naked flames nor any other noxious pungent or deleterious matter shall be brought into the Centre which may become a nuisance to the Centre, Association or any occupiers of the Centre or of adjoining premises.

No animals, birds or insects may be brought into the Centre (except for guide dogs for the visually or aurally impaired).

No impropriety of language, dress, dance, gesture or personality shall be permitted at any Event and the Delegate shall maintain and keep good order and decent behaviour in the Centre throughout the Period of Hire of the Centre by the Association (‘Period of Hire’) of the same by the Association.

The Association and/or Centre reserves the right to refuse admission to, or to remove from the Centre any person who, in its or their opinion, is drunk, disorderly or objectionable or dressed in a manner which may be offensive to others.

Delegates must remain seated during lectures (and are not permitted to stand/sit in the aisles). No one may throw any article in the auditorium or at any stage.

No liability shall attach to the Association or Centre for anything left in any cloakroom except for loss or damage caused by the negligence of the Centre’s staff or of the Association.

A Delegate will be charged for any attendance of the Police or Fire Service which the Association or Centre shall judge to be necessary by the action or inaction of the Delegate who shall pay for such attendance at the rates prevailing at the date of the event.

Food and drink (except for water) may not be consumed in the auditoria or the backstage areas of the Centre.

The Association and/or Centre will not be responsible for any article of any kind which is brought into or left in the Centre unless the loss is caused by the negligence of or breach of contract by the Centre and/or the Association.

Any structures, goods or chattels which are placed in-store will be held by the Centre and/or the Association to the order of the Delegate and at the Delegate’s sole risk.

The Association and Centre shall not be liable for any loss or theft of or damage to the property of the Delegate or for the death of or any injury to such person or persons (due to any cause whatsoever) or for any consequential loss except in the case of theft by or damage or death or injury is caused by the negligence of the Centre’s own staff or breach of contract by the Centre or the staff of the Association and its breach of this Contract.

In the event of the Centre being closed or any presentation or exhibition being prevented or interfered with due to a public disaster, riot, epidemic, fire, flood, act of God, war, civil disturbance or any other circumstance beyond the Association’s control or if there is any labour dispute of any kind which interferes with the working of the Centre or affects attendees at the Event or exhibition or the transport facilities available to attendees or on account of any other cause outside the control of the Association, the Association shall be released from any obligation to the Delegate insofar as it has been prevented from performing its obligations by the above-mentioned occurrences of force majeure.

No responsibility to the Delegate shall be accepted by the Association for any breakdown, failure or defect in any of the technical equipment or facilities which could not reasonably be foreseen by the Association nor shall the Association be held liable for any consequences attributable to any termination, breakdown or interruption of the supply of electricity, gas or water or other services outside the Association’s control nor for any defective working of any other equipment, apparatus, machinery or services or defective buildings.

In the event of the Event and/or exhibition being cancelled in terms that the Association shall be liable to the Centre to pay the whole or any part of the total hiring charge the Association shall retain the whole or any part pro rata of the payment made by the Delegate to the Association.
